Refund Policy

West Proof Bread
Effective Date: May 7, 2026

At West Proof Bread, every loaf is handcrafted in small batches using long fermentation methods, scheduled production timelines, and limited weekly availability. Because our products are made to order and produced in limited quantities, we maintain the following Refund Policy to protect both our customers and our business operations.

By placing an order with West Proof Bread, you acknowledge that you have read, understood, and agreed to the terms outlined below.

1. Small-Batch Production Notice

West Proof Bread operates as an exclusive neighborhood cottage bakery offering limited weekly bread drops and preorder-based production.

All products are:

  • handmade in small batches

  • produced specifically for reserved customer orders

  • baked fresh to order

  • prepared under Arizona Cottage Food laws

Due to the limited nature of our inventory and production scheduling, all orders reserve product quantities specifically for each customer.

2. Preorder Structure

West Proof Bread primarily operates on a preorder system.

Typical ordering schedule:

  • Orders open Sunday

  • Preorders close Wednesday evening

  • Production and baking occur Thursday and Friday

  • Pickup takes place Friday between 4:00 PM and 7:00 PM

Production planning, ingredient purchasing, fermentation scheduling, and baking quantities are based directly on customer preorder commitments.

3. Payment Policy

Approximately 95% of orders are prepaid at the time the order is placed.

West Proof Bread reserves the right to:

  • require payment in advance

  • refuse unpaid reservations

  • deny future orders for repeated nonpayment or missed pickups

Limited exceptions for in-person payment may be made at the sole discretion of West Proof Bread.

4. All Sales Are Generally Final

Due to the perishable, handmade, and made-to-order nature of our products:

ALL SALES ARE GENERALLY FINAL.

West Proof Bread does not guarantee refunds for:

  • personal taste preferences

  • texture preferences

  • crust preferences

  • changes of mind

  • forgotten pickups

  • scheduling conflicts

  • customer ordering errors

  • dissatisfaction unrelated to product quality

Refunds, exchanges, or credits are granted solely at the discretion of West Proof Bread on a case-by-case basis.

5. Cancellation Policy

Customers may request order cancellations up to EIGHT (8) HOURS after placing an order.

After the 8-hour cancellation window expires:

  • orders enter production planning

  • ingredients may be allocated

  • fermentation scheduling may begin

  • inventory may be reserved specifically for that customer

Because of this, cancellation requests submitted after the allowed window are generally non-refundable.

West Proof Bread reserves the right to:

  • deny late cancellations

  • issue partial refunds only

  • offer store credit instead of monetary refunds

6. Pickup Policy

All orders are currently PICKUP ONLY.

Pickup window:
Friday between 4:00 PM and 7:00 PM unless otherwise communicated.

Customers are responsible for:

  • arriving during the designated pickup window

  • monitoring pickup communications

  • ensuring timely collection of products

Orders not picked up during the scheduled window may:

  • become ineligible for refund

  • be donated

  • be discarded

  • be resold

  • lose freshness or quality

Because products are baked fresh and contain no commercial preservatives, product quality cannot be guaranteed after the designated pickup timeframe.

7. Missed Pickup Policy

Missed pickups are handled on a case-by-case basis.

Customers who fail to collect orders during the designated pickup window may receive:

  • no refund

  • partial refund

  • partial store credit

  • one-time courtesy accommodation

at the sole discretion of West Proof Bread.

Repeated missed pickups may result in:

  • refusal of future orders

  • mandatory prepayment requirements

  • cancellation of customer privileges

8. Product Quality Concerns

West Proof Bread takes pride in the quality and craftsmanship of every loaf produced.

If a customer believes there is a legitimate issue involving:

  • product freshness

  • baking defects

  • order accuracy

  • damage prior to pickup

the customer must contact West Proof Bread within TWELVE (12) HOURS of pickup.

Customers may be asked to provide:

  • photographs

  • order information

  • product details

  • proof of issue

West Proof Bread may offer:

  • store credit

  • replacement product

  • partial credit

  • exchange

Refunds are not guaranteed.

9. No Refunds for Personal Preference

Because artisan sourdough products naturally vary in:

  • crumb structure

  • fermentation level

  • crust texture

  • flavor profile

  • hydration

  • shape

  • scoring appearance

West Proof Bread does not issue refunds based solely on:

  • personal taste preferences

  • texture expectations

  • appearance variations

  • preference changes

Artisan products are intentionally handcrafted and may vary slightly between batches.

10. Food Storage Responsibility

Once products are picked up, customers assume full responsibility for:

  • transportation

  • storage

  • reheating

  • freezing

  • food handling

  • freshness maintenance

West Proof Bread is not responsible for product quality changes resulting from:

  • improper storage

  • excessive heat exposure

  • delayed consumption

  • refrigeration damage

  • freezing methods

  • transportation conditions

11. Allergy and Consumption Disclaimer

Customers are responsible for reviewing ingredient and allergen information before purchase.

West Proof Bread does not guarantee allergen-free products or environments.

Refunds or credits will not be issued for:

  • undisclosed allergies

  • ingredient misunderstandings

  • dietary restrictions

  • customer assumptions regarding ingredients

12. Custom Orders and Specialty Orders

Custom orders, catering orders, large-batch orders, event orders, wholesale reservations, and specialty production items may require:

  • non-refundable deposits

  • minimum purchase quantities

  • advance scheduling

  • signed agreements

Once production begins on custom or specialty orders:

  • payments become non-refundable

  • cancellations may not be accepted

West Proof Bread reserves the right to refuse custom requests at any time.

13. Store Credit Policy

When approved, store credit may be issued instead of monetary refunds.

Store credit:

  • has no cash value

  • is non-transferable

  • may expire

  • may only be used toward future West Proof Bread purchases

West Proof Bread reserves the right to determine the amount and validity period of store credit issued.

14. Chargeback and Payment Dispute Policy

By placing an order, customers agree to contact West Proof Bread directly before initiating:

  • payment disputes

  • bank reversals

  • chargebacks

  • fraud claims

Initiating fraudulent or abusive chargebacks after receiving products or violating this policy may result in:

  • refusal of future service

  • documentation submission to payment processors

  • collection efforts

  • legal remedies where permitted by law

West Proof Bread maintains records including:

  • order confirmations

  • pickup schedules

  • communications

  • transaction records

  • fulfillment documentation

to dispute improper chargeback claims.

15. Limitation of Liability

To the fullest extent permitted by law, West Proof Bread and its owner shall not be liable for:

  • missed pickups

  • scheduling conflicts

  • transportation issues

  • food spoilage after pickup

  • customer storage practices

  • indirect damages

  • incidental damages

  • dissatisfaction arising from subjective preferences

All products are purchased and consumed at the customer’s discretion and risk.

16. Right to Refuse Service

West Proof Bread reserves the right to:

  • refuse service

  • deny orders

  • limit quantities

  • cancel reservations

  • block future purchases

for any lawful reason including:

  • abusive behavior

  • repeated policy violations

  • repeated missed pickups

  • fraudulent activity

  • harassment

  • unsafe conduct

17. Arizona Governing Law

This Refund Policy shall be governed by the laws of the State of Arizona.

Any disputes arising from purchases, website use, or business interactions shall be resolved exclusively within the State of Arizona.

18. Policy Changes

West Proof Bread reserves the right to modify, update, or revise this Refund Policy at any time without prior notice.

Updated policies become effective immediately upon posting.

Continued use of services or purchases after updates constitutes acceptance of revised terms.
